OUR POLICIES

Before we start creating together, take a second to read through our policies. By booking, you agree to them.

It’s all about avoiding any confusion later on, because we’re here for clarity and good vibes only! 

Payment Terms.

Due to the custom and creative nature of our services, all payments made to For Her Studios, including deposits, are non-refundable.

Payments are accepted via official invoices or through our website using major debit and credit cards. Klarna (Pay in 3) may be available for selected packages.

The following payment structure applies:

Studio Hire, Scheduled Calls & One-Off Design Services
Full payment is required at the time of booking to secure your slot.

Photoshoots, Content Days & Branding Packages
Bookings can be secured with a non-refundable deposit.

The remaining balance must be paid as follows:

Photoshoots, Content Days & Branding Packages (including a shoot):

Remaining balance due 24 hours before the scheduled shoot date.

Design-Only Branding Packages:

Remaining balance must be paid once designer confirm completion, final files are only shared once full payment is received.

If a client chooses to use an alternative studio location, please note that For Her Studios service rates remain unchanged. Any additional studio hire fees, travel costs, or location expenses must be covered by the client.

Client Onboarding.

All design projects require completion of onboarding materials such as contracts, questionnaire forms, or creative briefs.

If a client requires support with developing ideas, brand direction, or creative concepts, we recommend booking our Creative Direction Add-On or Strategy Call. Concept development and strategic planning are not included in standard design services unless this add-on is booked.

If required onboarding materials are sent and the client remains unresponsive for more than 7 days, the project may be cancelled and all payments will be forfeited.

For Her Studios does not accept fully AI-generated briefs or prompts as the sole project direction. Clients are welcome to use tools for inspiration, but briefs and references must reflect clear client input and direction based on their brand or business.

File Delivery & Storage.

Completed design files are stored for 7 days after project completion.

Clients are responsible for downloading and securely storing their files.

File transfer links expire after 3 days. If a new download link is requested and files are still available, a £10 administrative fee will apply.

Cancellations & Refunds.

If a client chooses to cancel their booking, all payments made including deposits, remain

strictly non-refundable regardless of notice provided.

Refunds will not be issued unless For Her Studios is unable to fulfil the agreed service due to circumstances directly caused by the studio. Please refer to our Satisfaction Policy for further details.

 

 

​​​Design Services Policy.

Project Timeline.

Most design services are completed within 3-14 business days.

Please note that this timeline does not begin at the time of booking or payment. The project timeline will only begin once all required forms, briefs, and information have been submitted by the client.

Turnaround times may vary depending on the service and will be listed in the product description or confirmed at the time of booking.

Once all required information has been received, you will be provided with either:

  • A design start date, or

  • Your position within the client queue.

Delays in submitting required information may delay your project timeline.

Communication.

Clear communication is essential for a successful design process.

For Her Studios reserves the right to project if a client::

  • Is consistently unprepared

  • Is repeatedly unresponsive

  • Engages in rude, abusive, or inappropriate behaviour

Client responsiveness directly affects project timelines.

If the design process has started and the client becomes unresponsive for 10 days or more, the project may be cancelled with no refund and no files will be delivered regardless of project progress.

Clients are asked to avoid repeated follow-ups or requests for drafts ahead of schedule. We will provide updates throughout the project where necessary.

Client-Provided Content.

For Her Studios is not responsible for spelling errors, incorrect information, or legal issues related to client-provided text, logos, or images.

Revisions.

Each design project includes 3 complimentary revisions.

Revisions include minor changes, such as:

  • Colour adjustments

  • Font changes

  • Layout or placement edits

Additional revisions beyond the included amount are charged at £10 per set of revisions.

A significant change in creative direction after the design process has started may require an additional design fee, depending on the scope of changes.

Once final files are delivered and approved, the project is considered complete and further edits will be treated as a new service.

File Formats.

Final files are typically delivered in the following formats where applicable:

  • JPG, PNG, SVG, PDF

Source files (AI, PSD, etc) are not included.

Usage & Copyright.

Clients must specify whether designs are intended for personal or commercial use.

For Her Studios is not responsible for legal issues arising from misuse of designs, licensing conflicts, or third-party content provided by the client.

 

Designs created by For Her Studios may not be used, modified, or submitted as prompts within AI systems or generative platforms.

Unless otherwise agreed in writing, For Her Studios retains the right to showcase completed work for portfolio, marketing, promotional, and social media purposes.

 

If a client requires exclusive ownership or removal of portfolio rights, this must be agreed through a Copyright Transfer Agreement during the onboarding process, which will involve an additional fee.

Photography & Content Days.

All bookings include our Brentford studio - Location here, by booking a service you also agree to our studio conduct rules - here.

If you prefer to use an alternative studio, please note that our rates remain the same, and any additional studio hire and travel expenses must be covered by the client. For her studios is also available for bookings outside of london or international. both travel and accommodation must be covered by the client.

Shoot Day Lateness.

If a client arrives up to 30 minutes late and has communicated this in advance, the session will still go ahead. However, the session will still end at the originally scheduled time and no additional time will be added, unless the client chooses to book additional time at the current rate, subject to availability.

If a client arrives more than 30 minutes late, the session may be cancelled, as this may significantly impact the quality and full potential of the shoot.

Mobile & Location Shoots

For shoots taking place outside of the studio, For Her Studios will remain onsite only for the agreed booking duration.

If additional time is required and our schedule allows, extra time may be booked at an additional cost, which will be quoted at the time.

Third-Party Delays

For Her Studios is not responsible for delays caused by third parties, including but not limited to:

  • Models, Makeup artists or hairstylists, Stylists or assistants, Client team members

Any delays caused by third parties will not extend the scheduled shoot time, , unless the client chooses to book additional time at the current rate, subject to availability.

Rescheduling.

Photoshoots & Content Days:

Clients are permitted one complimentary reschedule, provided the request is made at least 14 days before the scheduled booking date.

Reschedule requests made within 14 days of the booking date will incur a £50 rescheduling fee.

The latest a shoot can be rescheduled is 72 hours before the scheduled date. Any requests made within 72 hours of the shoot may result in cancellation.

Additional conditions:

The remaining balance must still be paid in order to reschedule to a new date.

The new shoot date must be confirmed within 24 hours of requesting the reschedule.

The new booking date must take place within 30 days of the original scheduled date.

Failure to meet these conditions may result in cancellation of the booking and forfeiture of all payments made.

Same-Day Cancellations & No-Shows.

If a client cancels on the day of the booking or fails to attend their scheduled appointment:

The booking will be cancelled immediately.

No refunds or reschedules will be permitted.

Any outstanding balance may be charged to the card on file.

Behind The Scenes & Promotional Uses.

For Her Studios may occasionally capture behind-the-scenes (BTS) photos or videos during sessions. By booking, clients agree that BTS content and selected images or footage from their session may be used for portfolio, website, social media, and marketing purposes. Clients who require privacy must request this in writing prior to their session.

RAW Files.

For photoshoots Day

For Her Studios does not provide RAW or unedited image files under any circumstances.

RAW files are considered unfinished work and remain the intellectual property of the studio.

Clients will receive professionally edited final images only, as outlined in their selected package.

For Content Day bookings:

  • All recorded video files will be shared with the client.

  • Files are delivered raw and uncolourgraded, unless colour grading or editing is purchased as an add-on service.​​

STUDIO TERMS & CONDITIONS

Security & Privacy

  • Our studio is equipped with a security camera for the safety of our clients and equipment. Footage is used strictly for security purposes only.

  • Recordings are automatically deleted after 24 hours unless required for an incident.

  • Only a female team member has access to the footage, and it will only be reviewed if there is a security concern.

Changing is allowed in the studio. For added privacy, you may also use the communal toilets nearby: one is two doors to the left of the studio, and another is through the doors on the right at the end of the hallway.

Studio Care & Rules

  • Please keep music at a reasonable level out of respect for other businesses in the building.

  • The studio door must remain closed during your booking.

  • Treat all furniture, props, and equipment with care. (Do not stand on furniture, etc.)

  • You may move small items, but main furniture pieces (sofa, vanity station, arched mirror) must remain in place. All items moved must be returned to their original layout.

  • Do not drag furniture or equipment — lift and move carefully.

  • Any damaged, stained, or broken items must be reported immediately. Full repair or replacement costs are the responsibility of the booker and must be settled within 24 hours, unless otherwise agreed.

  • Strictly no smoking or vaping inside the studio or building.

  • No exposed body oils, glitter, fake tan, or substances likely to stain furniture or floors.

  • Full nudity is not permitted.

  • No open flames (candles, etc.), fog, or haze machines.

Cleanliness & Responsibility

  • Please leave the studio tidy. A cleaning trolley is provided. Excessive mess will incur a £50 cleaning charge.

  • Use provided bins for small waste. For large rubbish, contact us (number on your booking confirmation) for disposal instructions.

Makeup Artists & Hairstylists must:

  • Use heat mats (in vanity drawer) for hair tools.

  • Use surface sheets (in the cleaning trolley) to prevent stains.

  • Keep makeup and hair styling to the designated vanity area. (The director’s chair may be moved there.)

  • No makeup or hair styling on sofas or other furniture.

Food & Drinks

  • Drinks must be in bottles or closed cups with straws. No open cups to avoid spills.

  • Alcoholic drinks must be pre-approved via contact@forherstudios.com.

  • No hot meals in the studio. Light snacks are allowed, help yourself to the snack trolley.

Scheduling & Cancellations

  • Full payment is required upon booking.

  • Bookings include 2 people maximum. Additional guests can be added through the add-ons section.

  • Setup and clean-up time must be included within your booking.

  • To extend your booking, please notify us as soon as possible. Extensions depend on availability.

Lateness

  • If you overrun your scheduled end time and another booking follows, a £20 fee per 10 minutes will be charged.

  • Late check-ins do not extend your booking, you must still leave at the scheduled time.

Rescheduling & Cancellations

  • All bookings are non-refundable.

  • Rescheduling is allowed up to 48 hours before your booking. You may reschedule once, and the new date must be within 30 days of the original booking.

  • Rescheduling within 48 hours of your booking is not permitted and will be treated as a cancellation.

  • If an issue beyond your control affects your booking after the notice period, please contact contact@forherstudios.com, and we will do our best to assist or accommodate where possible.
